How to recall mail in Outlook is a question brought on by colleague that brings my intention. We all have mistakes from time-to-time, so I decided it was worth coming up with some tutorials for Outlook users who want to undo their actions.

Recalling feature in Outlook web is not available but you can set a sending delay up to 10 seconds with an options to undo your actions. See the tutorial for reference.

Recall Email Outlook 365

Note that the original email thread will still sit in your client’s inbox, though you can use the recall feature in Outlook 365 app to notify the client that there’s an updated thread on this email.

Prequsite to unlock the recall outlook feature

You need to have a Microsoft Exchange license.

Here’s the following steps on how to recall mail in outlook: 

  1. Go to your sent items folder
  2. Double-click the section to open the body of the email
  3. Find the Recall feature. Take note that Outlook Layout view has two options named “Classic Ribbon” and “Simplified Ribbon” and recall this message feature is positioned differently.
  4. To find the recall feature, go to:
    1. Simplified Ribbon Layout: Click the three dots > Actions > Recall this message
    2. Classic Ribbon Layout > Click the paper icon located beside the Move icon > Recall this message.

If you’re using the web version, I suggest maximizing the delay time to give you more time to review your email. On the flip side, add more details on your body thread so it’s easy for the recipieint to understand that the message has a recall version.

Microsoft’s webmail has a very handy option that allows you to recall a message sent a little too quickly.

Writing a long email and sending it straight away is rarely a good idea. If you left a typo after proofreading, forgot important information, omitted to insert the attachment you are referring to in your message… Or quite simply if you made the wrong recipient by validating the autocomplete a little too quickly, everything is not lost!

Microsoft Outlook, like Gmail, includes a message reminder function. When properly configured, it allows you to recall a message for a period of several seconds after sending it. You can then reopen your message to correct your error. Your recipient has no alert on his side informing him that you have sent him a message.

Here is in a few very simple steps how to configure the message reminder function in the web version of Microsoft Outlook.

1. Open Settings

Click on the icon appearing as a toothed wheel displayed at the top right of Outlook, then in the pane that unfolds on the right, click on the menu Show all Outlook settings grafted at the bottom of the screen.

2. Set up undo send

By default, Outlook settings open to the Mail section. Enter the Compose and reply menu and scroll through the proposed options until you reach the Undo send part.

Microsoft Outlook provides the ability to unsend a message right after you click the send button. Using your mouse, adjust the displayed slider to choose how long Outlook waits for sending your messages and click the Save button to save your changes. Play it safe and choose the maximum duration of 10 seconds.

3. Remind an email

If you have sent a freshly written message a little too quickly, Outlook gives you a maximum of ten seconds to cancel the sending of your e-mail.

To recall an email after pressing the Send button, simply click the Cancel button displayed at the bottom of the inbox next to the Sending notification.
